Recommended tools and plans
Start with who needs to do the work and who only needs to review it.
For a team of up to five tracking tasks and hours

Worklenz
One code costs $79 and covers 5 internal members with unlimited active projects. It fits a team that wants worklogs beside task progress.
Keep in mind: Client finance and full planning features may require five-code Business. Do not count unfinished API or AI features as included.

t0ggles
Tier 2 costs $49 for 3 internal members. Guests do not take paid seats, so client reviewers need not drive a higher tier.
Keep in mind: Guests cannot open the Notes section. Forms create tasks rather than automatically building new client boards.

t0ggles
Tier 3 at $139 covers 10 members with the same API, MCP, forms and automation features as the smaller tiers.
Keep in mind: External AI providers are not paid for by the lifetime licence. Task-event webhooks are not supported.

Write down three groups: people assigning or completing work, clients reviewing one project, and outside contributors who need broader access. A low headline price is misleading when reviewers consume staff seats or contractors cannot work under guest permissions.
For three staff and many project reviewers, the t0ggles guest model is straightforward. For five staff mainly tracking tasks and hours, Worklenz one code avoids buying a ten-seat t0ggles tier. Decide the permission requirement before comparing the totals.
Choose a delivery workflow before a feature score
A status board answers what is happening. Time logs answer where hours went. A finance module answers a different question about project cost and revenue. Do not use “reports included” as proof that all three are covered.
Take one real client project and list the handoffs from intake to completion. If requests must arrive through a form, t0ggles has a documented path into tasks. If you need project finance, investigate the Worklenz Business mapping rather than choosing its entry tier from seat count alone.
- For cross-project visibility, compare t0ggles project columns with its Focus mode.
- For billable work, check who records and approves the hours before they become a client report.
- For private client documentation, check guest access to notes and attachments instead of assuming every view is shared.
Compare plans using the full team, not price per spare seat
One Worklenz code is $79 for 5 members; t0ggles Tier 2 is $49 for 3. A four-person team cannot use that t0ggles price as its buying budget: it needs Tier 3 at $139.
Business features can reverse the calculation. The Worklenz founder describes five codes at $395 as the route to Business, even for a small team. Formal offer terms still name Pro; settle that mapping before buying for finance or scheduling. Do not treat an unused seat as a saving.
Separate included AI from the services that run an agent
t0ggles’ built-in task generator is described as unlimited on paid plans without a personal key. Crew is a separate free companion that connects external agents; the provider account, usage and running computer remain your responsibility.
Worklenz AI is described in founder replies as future credit-based functionality. No usable allowance or top-up budget was established. It should not be the reason to buy the current task-management offer.
Test the exit path with a representative project
Before moving a live team, use a project containing a task, comment, file, time entry and client reviewer. Check what exports, what is omitted and what can actually be restored. A downloaded chart is not a full workspace backup.
Worklenz documents task CSV and comment/file exports, while finance Excel export is gated. t0ggles documents task and report exports but its Trello import excludes comments, attachments and checklists. Keep the original system available until the records you depend on are accounted for.
When a free plan is the better decision
Worklenz’s free cloud plan allows core tracking for up to three active projects. t0ggles offers a free three-member board with limited projects, tasks, storage and AI actions, plus MCP and Crew. Those are useful ways to evaluate the working method without buying a seat bundle.
If a shared checklist already gives everyone clear owners and deadlines, keep it until a concrete limitation appears. A lifetime deal is worthwhile when it solves a recurring problem your team will actually adopt; it does not remove setup, training or future service risk.
Feature comparison
Use the same checklist for each tool. Plan limits, paid extras and features that need confirmation are shown separately.
Features are grouped by documented coverage. “Not confirmed” means the evidence is incomplete, not that a feature is absent.
Check each product’s plan notes for tier limits and additional costs. Feature coverage is not a quality rating.
Buying questions
Which deal is better for client guests?
t0ggles clearly separates unlimited guests from paid team seats, but guests cannot access Notes. Worklenz has documented project-level guest permissions; its standard Pro and Business guest quotas differ and should be matched to the lifetime workspace.
Which option should a five-person team choose?
Worklenz one code covers five internal members for $79. t0ggles requires Tier 3 at $139. Choose based on the required forms, integrations and reporting rather than spare seats.
Can these replace billing or accounting software?
Do not assume so. Worklenz has a Business project-finance module; t0ggles time reports alone do not establish client invoicing or accounting coverage. Define the exact invoice and export requirements first.
