Start with the task and the people who will manage it. Then check the monthly counters, retained storage and any paid services around the form.
For conditional quotes and custom form behaviour

FormDesigner
FormDesigner combines calculation fields, branching, CSS/scripts and connected workflows for $59 once. It suits a relatively small intake process that needs more control than a basic questionnaire.
Keep in mind: Estimate integration actions and notifications separately from submissions. The account retains uploaded files even when they are copied to Google Drive.

Formly
Formly 2 Codes adds partial responses, refill links and advanced drop-off reporting, with 3 users. It is a stronger starting point than 1 Code when abandoned intake forms are the problem you need to solve.
Keep in mind: Automatic reminders were still in development in the October founder answer. AI credits are one-time, and responses remain subject to fair use.
Buy nowExplore Formly’s features and plansA short questionnaire may not need a paid deal
If you only need a few questions and a list of answers, first compare the free plan against your requirements. Formly advertises free forms and responses subject to fair use; FormDesigner also offers a free tariff with smaller field and submission limits.
A paid form builder becomes easier to justify when you can name the missing capability: removing branding, using a client domain, calculating an order, taking a payment or sending answers to another system. Owning a lifetime licence is not itself a reason to replace a working free form.
For paid client intake, check the whole transaction
A payment checkbox in a feature table is only the beginning. Confirm the supported processor, how the price is calculated, what happens after failed payment and which record reaches the team. Formly documents Stripe and no Formly transaction surcharge; processor fees remain payable. FormDesigner lists payment modules, but their presence does not establish every refund or scheduling workflow.
- Use the correct merchant account and confirm it supports the business and country.
- Check that the confirmation distinguishes a submitted form from a successful payment.
- Keep payment status attached to the right client record after export or automation.
- Review the fee and cancellation process before sending the form to paying customers.
Count submissions, actions and stored files separately
For FormDesigner, the completed response is one counter and the downstream work is another. A Drive upload plus a webhook consumes two integration actions. That can make an apparently small workload exceed the automation allowance before the response allowance.
File storage is retained capacity, not a fresh amount every month. Estimate average uploaded file size multiplied by the number of records kept. FormDesigner retains originals after copying to Drive; Formly offers larger storage allowances across its tiers, but those are still finite. An export and deletion process is part of the operating plan.
Choose team seats before buying extra codes
Formly has explicit user allowances at each code level, from 1 on 1 Code to 10 on 5 Codes. Its unlimited workspaces from 3 Codes do not give unlimited editors. A small agency should count staff who need account access separately from clients or public respondents.
FormDesigner lists guest access on the linked tariff but does not establish an equivalent staff-seat allowance in the lifetime offer. If several people must manage client data with different permissions, clarify that entitlement before choosing it for an agency.
Match follow-up and tracking to the tier
Formly 1 Code is a candidate for one editor collecting completed responses. Partial responses, duplicate-response prevention and advanced drop-off analytics start at 2 Codes in the current plan table. Refill links are also confirmed at that level, while automatic reminder emails remain unconfirmed as a shipped feature.
Do not equate in-product analytics with advertising conversion tracking. Formly’s official FAQ describes tracking on your own embedded-form landing page and redirect destination as the workaround for Google Tags or Meta Pixel. A purchase should cover the tracking workflow you use, not just a feature called analytics.
Budget AI as an optional tool, not the form engine
Formly’s AI generations are a one-time lifetime allowance, with paid bundles available through support. FormDesigner lists AI credits but does not clearly establish their lifetime reset or expiry. Both still offer manual form creation.
Write the questions, calculations and desired outcomes first. AI can help draft their structure, but the need to review scoring, required fields and unusual answers remains. Do not choose a higher tier on an assumed monthly AI refill or an untested claim of better conversion.
Feature comparison
Use the same checklist for each tool. Plan limits, paid extras and features that need confirmation are shown separately.
Features are grouped by documented coverage. “Not confirmed” means the evidence is incomplete, not that a feature is absent.
Check each product’s plan notes for tier limits and additional costs. Feature coverage is not a quality rating.
Buying questions
Which deal should I choose for a single-person business?
FormDesigner is a candidate for custom calculations and connected forms at modest volume. Formly 1 Code is a candidate for one editor using branded surveys and payment forms. Move to Formly 2 Codes if partial responses or advanced analytics are essential.
Which deal suits a three-person team?
Formly 2 Codes includes 3 users. FormDesigner’s public lifetime offer does not give a directly comparable staff-seat count, so it needs clarification before treating it as a team licence.
Can a lifetime form builder still create monthly costs?
Yes. Extra capacity, AI bundles, payment processing, email/SMS delivery, domains and external automation can cost more. The exact extras depend on the workflow, not just the initial purchase price.
