Costs and limits to account for

Monthly scan limits and busy periods

Compare a normal month and your busiest expected month. An illustrative four-week batch of 20 receipts a week is 80 items; 300 scans need more capacity, and 600 exceed Growth’s listed allowance. The table assumes the work uses the stated number of scans, not that every uploaded file is necessarily one scan.

Check the export requirements before choosing by volume. A small batch still needs Growth if it must use Google Drive import or the listed QuickBooks/Xero exports. Team’s analyzer is a separate reason to upgrade, but it does not add full financial statements.

How documents use the monthly scan allowance

The plan’s scan total is a monthly allowance. The published details do not resolve charging for multi-page PDFs, failed scans or repeated attempts, and it does not confirm rollover or top-up pricing. A backlog of statements is therefore harder to size than a known batch of single-page receipts.

Before a bulk import, establish those charging rules for the documents you actually have. Avoid buying the largest tier solely on a file count that may not match the number of chargeable scans.

Exports do not make this a complete accounting system

BookZero can help turn receipts into structured records and export information. The founder explicitly says it does not produce a profit-and-loss statement or balance sheet. A financial analyzer feature should therefore not be interpreted as a complete set of accounts.

The QuickBooks and Xero features are described as exports. Automatic synchronization, reconciliation behavior and accountant-ready mapping remain unclear. Check the actual fields your accountant needs, then review a sample export before changing an established bookkeeping process.

Supported currencies and tax-reporting limits

The founder describes support for multiple currencies and conversion into a main currency while preserving original information. That does not mean every country’s tax forms, categories or filing rules are supported. A reply about Hong Kong illustrates the distinction: currency handling was discussed, but Hong Kong tax forms were not provided.

Categories are described as fixed CRA/IRS categories, without custom subcategories. If your chart of accounts uses different labels, determine how you will remap exports. Extracted tax figures and classifications require review by the person responsible for the accounts. Do not assume extracted figures are tax-accurate.

Document storage and costs outside BookZero

The founder says processing takes place in the US cloud and imported Google Drive documents are copied into the service’s storage. Keeping originals in Drive does not mean BookZero processes them only inside that account. Local models and bring-your-own-key processing are unavailable.

Decide whether that document handling fits your business before uploading records. Mobile access is through the browser and Telegram, rather than a confirmed native Android app. Budget any separate accounting subscription, bookkeeping review and filing service alongside the licence.

At month end, photos and PDFs must become records a bookkeeper can check against payments. The purchase is useful only if it reduces that preparation work without creating an awkward export.

How to use it

  1. Collect a representative batch, including the receipt formats and currencies you normally receive.
  2. Review extracted vendor, date, amount, currency and tax fields against the original documents; correct mistakes before handoff.
  3. Match the records to payments and ask the recipient to check the export fields against their accounting process.

What this helps you do: You can assess whether BookZero produces a usable monthly handoff and how much correction remains before paying for more scan capacity.

Receipt preparation or a full accounting system?
